Access Code Policy - Ontario

 

Intent

     This policy outlines the acceptable use of RE/MAX Real Estate Centre Inc. access codes. An essential element of security is limiting unauthorized access to specific areas of the organization. The company regularly maintains and audits access codes for safety and security.

  

  Guidelines

    Eligibility Only authorized employees are given an access code. Access codes are intended for the sole use of the employee they are assigned. RE/MAX Real Estate Centre Inc., is responsible for granting access and auditing authorized employees.

  Each access code is unique and tailored to the individual employee’s needs and therefore only grants the employee access to specific areas as necessary to complete job requirements.  

  If an employee requires access to an area their code does not authorize them to enter, they must speak to their supervisor, who can have the employee’s level of access changed. If regular access is required to the area, access must be granted by the administrator. An employee must never use another employee’s code to enter an area they do not have permission to enter.  

Access codes are revoked at the end of employment.

   Employee Responsibilities Employees are responsible for safeguarding their access codes. Employees will not:  

  • Share their access code at any time with any other employee or person;
  • Attempt to bypass the access code if they forget their code;
  • Ask another employee for their code; or
  • Write down their code. 

If an access code is discovered or forgotten, employees should notify RE/MAX Real Estate Centre Inc., immediately. The code can be cancelled, and a new code issued. In exceptional circumstances where the code must be written down, employees must ensure that it is kept in a safe and secure location.

   Training All employees with access codes receive site-specific training. Certain areas may require access codes for entering an area, while others may require the code in order to secure an area. Employees should contact info@remaxcentre.ca for questions surrounding relevant procedures.
